Setting Up Account

What’s needed for setting up my account?

The only thing needed is an Email and a WhatsApp Business phone number (don’t worry if you don’t have one, we also are WhatsApp Number providers), so you can send your Emails, SMS and WhatsApp messages anytime and anywhere. We will help you set this up in our onboarding journey.

The number used for your WhatsApp marketing has to be added in Meta’s system as a WhatsApp Business account

To do so you will need a number, which can’t be already in use for a WhatsApp account. In case you want to use an already active WhatsApp number, you will have to delete it from WhatsApp first. Here’s a useful alternative to this, we got you covered!

To avoid such a situation, we have partnered up with a virtual number provider to supply you with a WhatsApp Business outreach number at a small added cost. We will set everything up for you – and you will be ready to go!

How to set up my WhatsApp Business Number with DoveHero?

Setting up your Whatsapp Business Number with DoveHero is very simple. As part of the onboarding journey, you will easily find the steps on how to do it. But if you ever want to change it, you can always go and edit your information from your profile. Remember you can always reach out to our team, we’ll be happy to assist you anytime.

Why can’t I use my current WhatsApp business number?

Meta doesn’t support migration of WhatsApp numbers. So, you would have to first delete the number from WhatsApp and afterwards add it with us to keep using the same number. We do this all the time without issues - it’s only a matter of a few extra steps before you are set.

Remember that in order to avoid such a situation, we have partnered up with a virtual number provider to supply you with a WhatsApp outreach number at a small added cost. If you choose this method, we will set everything up for you – and you will be ready to go!

What if my customer will be confused with the number change?

Your customers will see the display of your company name and logo on your WhatsApp Business Account, so there will be no mistake that this is actually your official number. Once verified, you will also receive a verified tag from Meta to underscore and support the officiality to your customers even more. We recommend that you send out a single message to all of your customers describing your number change, if you think it would otherwise cause any problems.

We will do our best to support you in this process, even with the restrictions set by Meta – if you need any help, please don't hesitate to reach out to our team.

How to set up the Display name in DoveHero?

To finish setting up your account, you will have to fill in your Display Name and get the Verification through WhatsApp. Here’s the more information on how to complete it:
  • Display Name: Your display is the name that people will see on their lock screen when you send them a message. It will also appear when they click on your WhatsApp profile, along with your profile/business description. Therefore, the name should reflect your business name. WhatsApp will review it to ensure it meets their guidelines. Avoid using generic names or terms. Reach out to support if you are having trouble.
  • Display Name Verification: It is important to get your display name verified because otherwise it will not show up on the lock screen of the recipient. Instead, the number will be displayed. To get verified, simply add a display name in the settings which reflects your business and complies with WhatsApp Guidelines. Follow the status of your display name from this page.

It is required to use the same number displayed in your website, as your WhatsApp Business Display Name, for example, in our case - our WhatsApp Business Display Name will be "DoveHero" as it's placed in the header of our website.

How to make your WhatsApp Business profile professional?

To make your WhatsApp Business profile professional, you should set up the following elements:
  • Profile Picture: Use your business logo.
  • Business Description: Provide a clear and concise description of your business.
  • Contact Information: Include your business email, address, and website.
  • Catalog: If applicable, add products or services to your catalog for customers to browse through.
Please, notice that it is important for you provide the correct and authentic information about your business. Otherwise you will take the risk of getting banned temporarily by Meta.

Are there any limitations to the WhatsApp Business API?

Yes, there are these limitations:
  • Messaging Limit: There are tiers that limit the number of messages you can send per day.
  • Cost: Unlike the WhatsApp Business App, the API will occur costs according to our pricing (link to pricing)

WhatsApp Business API introduced a messaging limit system based on quality rating and messaging tiers. These are designed to encourage businesses to send high-quality messages that recipients find useful. Please, read the next question to find out which are the tiers and how to improve the quality of your Whatsapp Business Account.

How to increase account quality and output limits?

WhatsApp Business API introduced a messaging limit system based on quality rating and messaging tiers. These are designed to encourage businesses to send high-quality messages that recipients find useful. Here’s a detailed look at the quality tiers, how to increase quality, and the limits at each level.
  • Quality Rating: The quality rating is determined by how users interact with the messages they receive from a business. It’s calculated based on user-reported spam and block rates. There are three quality ratings:
    • Green (High Quality): Indicates a low rate of negative feedback (spam reports, blocks).
    • Yellow (Medium Quality): Represents a moderate level of negative feedback.
    • Red (Low Quality): Signifies a high level of negative feedback.

How to maintain or improve your quality rating?

To maintain or improve your WhatsApp quality rating:

  1. Follow the Whatsapp Business Policy
  2. Send messages to users who have opted in to receive messages from your business.
  3. Send messages that are relevant, personalised and valuable to your audience.
  4. Mind the frequency on sending messages. Avoid sending too many promotional messages.
  5. Encourage users to save your number in their contacts.
  6. Ensure your messages are clear and concise.

Additionally, answers from your users might affect your quality. A good response from the user is considered when they reply to your message or click to a link that you shared. If they do nothing, it's considered neutral. And if they block you, it is considered negative. That's why you should be careful on your messages' content and the frequency with which you send them. On the next question, we tackle Whatsapp Quality Tiers and how WhatsApp defines quality.

What are the Messaging Tiers for WhatsApp Business?

WhatsApp uses a tier system to determine how many messages a business can send each day. The tiers are designed to help businesses grow their messaging responsibly. The limits increase as you move to higher tiers.

  • Tier 0 – The first week or two is 250 messages to unique customers. This will automatically increase to next tier unless you get marked for spam.
  • Tier 1: Allows sending messages to 1,000 unique customers in a rolling 24-hour period.
  • Tier 2: Increases the limit to 10,000 unique customers in a rolling 24-hour period.
  • Tier 3: Further increases the limit to 100,000 unique customers in a rolling 24-hour period.

You might be wondering "How can I move Up Tiers in WhatsApp?" let's have a look at the next question on how to improve your quality and move up tiers.

How to move up a WhatsApp tiers?

To move up a tier, you need to:

  • Maintain a high or medium quality rating.
  • Reach the messaging limit of your current tier for at least 7 days within a rolling 21-day period.

My WhatsApp Account has bad quality, how can I improve it?

First of all, stop sending promotions for some weeks. Try to send relevant messages to contacts that are expecting to receive messages from your company, and make sure they answer positively to those, or that they click to your links. It is important to keep a good Whatsapp quality.

If you do this for some time, your quality might be improved. Otherwise, your number will be at risk to be blocked.

How do DoveHero templates work?

WhatsApp templates

1. Rules
Utility templates are messages that relate to specific transactions and help users confirm, pause, or change their subscription. Authentication templates use special codes to ensure the user’s identity, while marketing templates are for advertising products or services. Businesses must follow strict rules when using authentication templates, but have more freedom with marketing templates.

User-initiated conversations start when a user messages a business, while business-initiated conversations begin with an approved template message. Businesses can send any type of message for the first 24 hours, after the user replies to the template. For more information on rules, click here.

2. Limitations
Messaging limits are like rules that say how many messages a business can send to customers in one day. The limit depends on whether the business has verified their phone number and display name. If they haven’t, they can only send 250 messages a day. If they have, they can send more, depending on how many unique customers they message and how good their phone number is.
If a business reaches their limit, they can’t send any more messages until some of their current conversations end. For more information on limitations, click here.

3. Business quality rating
Meta ranks your business sendouts and sets limitations based on your ranking. Your quality rating reflects how well people have reacted to your messages on WhatsApp in the past week and is determined by factors such as whether people have blocked or reported your messages.
A good rating allows you to send more unique messages daily, while a bad rating may result in your account being shut down. For more information about quality rating, click here.

4. Email templates
With the email templates you can custom build your emails in any way you want, simply by using the Drag-and-Drop feature. Email isn’t bound by any restrictions like WhatsApp, however you will need to consult your local markets marketing rules and regulations.

Analytics

As a part of our campaign feature, we track recipients’ engagement to provide you with a full performance overview. With DoveHero you can see all statistics on individual campaigns and use them to improve your campaigns or simply to follow up on the leads which have responded positively. We let you tag and segment as you want, so that you can follow on your most important conversations and automate campaigns that grow your business.

Work zones

Work zones are like business units. You can work for multiple companies within the same system, but the data is split into work zones. That means, you could be working for company 1 in one work zone and then easily change to another work zone to do your campaigns for company 2. Note that each work zone requires a separate license.

The product development team at DoveHero is constantly working on improving user experience and existing products. In addition, we are currently in the process of adding new features to our system. General system updates are scheduled for the beginning every month.
